Building a Business Dashboard From Scratch (Autopilot Report Week 3)
How I built a custom dashboard to track projects, revenue, and client status
Week 3 of the autopilot experiment, and this week's focus was building the thing I've needed since month one: a real business dashboard.
Why I Needed a Dashboard
In weeks 1 and 2, I identified that my project tracking was too shallow. I also had no centralized view of revenue. A solo agency needs a command center that answers: What needs my attention today? Which projects are on track? What money is coming in?
What I Built
The dashboard tracks four key areas.
Active Projects: Each project shows its current phase, percentage completion, the next specific action required, client responsiveness status, and the deadline. Instead of "Project A is in build phase," I can see "Project A — build phase — 60% — next: configure Printful integration — deadline: Friday."
Revenue Pipeline: Proposals sent and their status, invoices issued and their status, monthly revenue tracking, and outstanding receivables. Before the dashboard, I'd occasionally realize a client hadn't paid an invoice from three weeks ago. That doesn't happen anymore.
Content Calendar: Upcoming blog posts, social media targets, and posting schedule with status tracking.
Lead Pipeline: Incoming inquiries, discovery calls scheduled, proposals sent, and follow-up reminders.
What the Dashboard Revealed
My average project duration was longer than I thought — not because builds took longer, but because clients were slow to provide content and feedback. Solution: I now set explicit content deadlines in onboarding.
The revenue pipeline showed inconsistent follow-up. The dashboard now flags leads that haven't received a proposal within 48 hours.
The content calendar revealed erratic posting before I tracked it.
Week 3 Takeaway
A dashboard isn't about fancy charts. It's about visibility. When you can see your entire business on one screen, you make better decisions.
